Job description:

JOB DESCRIPTION

Job responsibilities:
    Handle overall administrative tasks for Operations Department
    Source and contact with contractors/ suppliers for quotation, prepare Purchase Orders and ensure the goods are delivered within the specified time frame
    Compile, check invoices from contractors/ suppliers, submit for approval and contact with Finance Personnel for timely payment
    Prepare, check and submit petty cash claims for Operations Team
    Organize weekly Operations meeting, take and prepare minutes of meeting
    Monitor and follow up with the progress of defect work via Timberline System and ensure the work is completed within reasonable time frame
    Prepare quotations to tenants/contractors (request air-condition extension/ power supply/ service grease trap/ repairing work/ Push Cart matters & etc)
    Prepare and draft letters/ circulars to tenants/ contractors as and when required
    Handle overtime, claims, leave, attendance sheet and duty roster for Operations Team
    Ensure water meter reading is collected by technicians on monthly basis and recorded as per Standard Operating Procedure requirement
    Track the validity of local authority licenses (Suruhanjaya Tenaga/ Genie / Winches / escalators & lift, etc) and maintenance contract agreement
    Prepare Insurance Claims for damages of machines and equipment, contact with Insurance Agent and follow up on claims
    Monitor stationery usage and stock levels Requirements:
    Diploma in Business Studies/Administration/Management, Secretarial or equivalent
    Minimum 2 years' of working practice in the related field
    Proficient in both oral and written English and Bahasa Malaysia
    Good command in Microsoft Office (Microsoft Words, Excel, Powerpoint)
    Able to multitask and work within tight deadlines in a fast-paced environment
